Forlena ("we", "our", "us") is committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our AI-Native Sales Execution Platform.

We comply with applicable data protection laws in the jurisdictions where we operate, including but not limited to Singapore's Personal Data Protection Act (PDPA), South Korea's Personal Information Protection Act (PIPA), Japan's Act on Protection of Personal Information (APPI), Australia's Privacy Act, and other regional data protection regulations.

2. Scope & Applicability

This Privacy Policy applies to:

  • All users of the Forlena platform worldwide
  • Personal data collected through our website, application, and services
  • Data processed on behalf of our business customers (B2B)

For users in specific regions, additional provisions may apply as outlined in Section 11 (Regional Provisions).

3. Information We Collect

Account Information

Name, email address, company name, job title, and role within your organization. This information is collected when you create an account.

Business Data

Sales deal data you enter, including prospect company names, contact information (names, emails, phone numbers, titles), deal values, pipeline stages, notes, and activity history.

Usage Information

How you interact with our platform, including features used, AI requests made, pages visited, and time spent on the platform.

Technical Information

Device information, browser type, operating system, IP address, and general location data (country/region level).

Communications

Feedback, support requests, and other communications you send to us.

Email & Calendar Integration Data

When you connect your Google Workspace or Microsoft 365 account, we access and store:

  • Email metadata: sender, recipients, subject line, date/time
  • Email content: the body/text of emails involving your sales contacts (stakeholders)
  • Calendar events: meeting titles, attendees, times, descriptions, and locations

Only emails and events involving stakeholders in your deals are synced. This data is used to automatically log sales activities and provide context for your deals. You can disconnect your account at any time to stop syncing, and previously synced data can be deleted upon request.

4. How We Use Your Information

Provide Services

Deliver the Forlena platform and all its features, including AI-powered deal analysis, email drafting, pipeline insights, and sales recommendations.

Improve Our AI (With Your Consent)

With your consent, we may use anonymized and aggregated data to train and improve our AI models. When we collect data for AI improvement:

  • All personally identifiable information (names, emails, companies) is removed or tokenized
  • Only metadata patterns are stored (e.g., "email field" instead of actual email addresses)
  • Deal values are stored as ranges (e.g., "$10K-50K") not exact amounts
  • You can opt out at any time in Admin → Organization → Privacy & Data

Communications

Send service updates, security alerts, billing information, and provide customer support.

Security & Fraud Prevention

Detect and prevent security threats, fraud, and abuse of our platform.

Legal Compliance

Comply with applicable laws, regulations, and legal processes.

6. What We Never Share

Your data is yours. We will never:

  • Share your company name or identity with other Forlena users
  • Disclose specific deal details, contact names, or customer information
  • Share exact deal values or proprietary business information
  • Sell your data to third parties
  • Share your data with third parties for their advertising purposes

We may share data with trusted service providers (e.g., cloud hosting, email delivery) who process data on our behalf under strict confidentiality agreements.

7. International Data Transfers

Forlena operates globally and your data may be processed in countries other than your own. We take the following measures to protect your data during international transfers:

  • Cloud Infrastructure: We use Google Cloud Platform with data centers in Asia (Seoul, Tokyo, Singapore) to minimize cross-border transfers for Asia-Pacific users
  • Comparable Protection: We ensure that any country receiving your data provides a comparable standard of protection to your home jurisdiction
  • Contractual Safeguards: We use data processing agreements with all third-party service providers

8. Data Security

We implement industry-standard security measures to protect your data:

  • Encryption: All data is encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Access Controls: Role-based access controls, multi-factor authentication, and audit logging
  • Security Assessments: Regular security reviews and vulnerability testing
  • Data Breach Response: We have incident response procedures and will notify affected users and relevant authorities as required by law

9. Your Rights

10. Data Retention

  • Active Accounts: Your data is retained while your account is active and as needed to provide services
  • Closed Accounts: Data is deleted within 90 days of account closure, unless earlier deletion is requested or legal retention is required
  • Legal Requirements: Some data may be retained longer if required by law (e.g., tax records, legal disputes)
  • Anonymized Data: Anonymized, aggregated data used for AI training (with consent) may be retained indefinitely as it cannot be linked back to individuals

11. Regional Provisions

The following additional provisions apply to users in specific regions:

  • • We handle personal information in compliance with APPI requirements
  • • Cross-border transfers are made to countries with comparable data protection (Singapore, Korea, Australia)
  • • You may request disclosure, correction, or cessation of use of your personal information

🇦🇺 Australia (Privacy Act)

  • • We comply with the Australian Privacy Principles (APPs)
  • • Personal information may be disclosed to overseas recipients (cloud providers in Asia-Pacific region)
  • • You may access and correct your personal information
  • • Complaints may be made to the Office of the Australian Information Commissioner (OAIC)

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws.
